Incoming invoices & payables
E-commerce tools typically focus on the sales side. Incoming invoices from suppliers, ad platforms, logistics providers and SaaS services? Those end up on your desk.
Eliminate Manual Tasks
The hours of manual rework that remain despite your existing tools – that is exactly where emata.ai comes in. Our configurable platform, built specifically for tax advisory firms with e-commerce clients, is set up individually for your client structure – complementing what you already use. You work the way you always do, just more relaxed.
Works with the tools your clients use
You have the best tools. And yet there is still work left over.
E-commerce tools have come a long way in recent years. Shopify, Amazon, Stripe and PayPal data is now processed in a structured way and handed over to DATEV.
And yet these tools regularly leave manual work behind at the firm – hours your team spends on corrections instead of advising clients.
The examples below are just a selection. In the intro call we get to know you better and discuss your specific requirements. emata.ai is fully configurable.
Talk to us →E-commerce tools typically focus on the sales side. Incoming invoices from suppliers, ad platforms, logistics providers and SaaS services? Those end up on your desk.
PayPal disputes after an order has closed, prepayments that span month-end, unclear marketplace payouts – cases that the standard heuristics of upstream tools can't match cleanly often end up in clearing accounts. And then with you.
Standard tools don't know your posting logic. Unusual collective debtor structures, individual charts of accounts, client-specific handling of edge cases – you adjust those yourself. Again and again.
Voucher redemptions, gift cards, pay-later arrangements – they look like payments, but they aren't. Right now, you're the only one who recognizes the posting logic behind them.
One platform. Set up individually. For the tasks you (still) do by hand.
emata.ai is neither a replacement for your existing tools nor yet another upstream system you have to install. It is a configurable platform that we set up together with your firm wherever work is still done manually today. The result: postings arrive in your DATEV accounting just the way you are used to – with far less rework.
emata.ai connects to everything your clients already run – complementing, not replacing. You don’t swap anything out.
The platform is ready. We set it up with you in a setup workshop – chart of accounts, posting logic and edge cases for each client. After that, you can make adjustments in your dashboard at any time.
Ready for review and finalization. Edge cases and individual workflows are processed by rules. What would otherwise cost manual rework is largely eliminated.
One platform for your firm’s e-commerce accounting – complementing your existing tools. The result: your team wins back hours that currently go into manual corrections. The posting logic and the client relationship stay in your hands.

SKR03, SKR04, individual charts of accounts. Your own collective debtor logic. Client-specific posting rules. In the setup workshop we configure emata.ai to post the way your firm posts. After that, you can adjust everything at any time in your dashboard. You stay in control of your posting logic – emata.ai carries out what you define.
While other e-commerce tools focus on the sales side, emata.ai covers both sides of the books. Sales data and incoming invoices run through one integrated platform – no more juggling several separate tools.
Prepayments spanning month-end, PayPal disputes after an order has closed, voucher redemptions, unusual fee types – emata.ai uses rules to allocate the edge cases that the standard heuristics of upstream solutions miss. We define those rules together with you in the setup workshop.
Postings arrive in your DATEV accounting just the way you are used to – ready for review and finalization. Whether they come straight from emata.ai or run through an upstream tool and are completed by emata.ai, everything ends up consistently in DATEV. Your team's familiar routines don't change.
Every firm and every client is different. emata.ai is designed as a platform that adapts to your circumstances – not the other way around. As your client base grows, the platform scales with you, without extra hours for every new e-commerce client.
When it makes sense to talk to us.
emata.ai isn’t the right tool for every firm. If you recognize yourself in any of these three points, an intro call is worth your while.
Growth in the e-commerce segment is good for your firm, but every additional client increases the hours of manual rework disproportionately – and with them your staff costs. With emata.ai, your client base grows without the rework growing along with it.
If you or your clients already use an e-commerce accounting solution, but month-end closing still ends in manual rework – emata.ai closes that gap. Not as a replacement, but as a complement.
When your clients come with special setups – less common platforms, their own ERP systems, unusual posting conventions, B2B with reverse charge – standard tools often don't fit. In the setup workshop, we configure emata.ai to these requirements together with you. You remain your clients' main point of contact – emata.ai simply works in the background.

Book an intro call →To make sure emata.ai truly fits your firm, we work together in four clear stages. You always know what comes next.
In a 30-minute call we discuss which shop systems, marketplaces, payment providers and e-commerce tools your clients work with – and where manual rework still lands at your firm after those tools. You see the platform using an example and can judge whether emata.ai is a fit for your firm. No sales pressure, no commitment.
In structured workshops we configure the platform for your client structure: mapping shop and marketplace data to your chart of accounts, logic for payment providers, edge cases, payables. You are at the center of the workshop, see every configuration step and can make corrections at any time. By the end of the workshop, your configuration is live.
During your first month-end close with emata.ai we are on hand – by phone, email or screen sharing. If edge cases come up that weren't anticipated in the setup workshop, we adjust the configuration together. The goal: a cleanly closed first month with no open items.
After the first month, we remain your point of contact – when new clients come on board, when an existing client expands to another marketplace, when new edge cases arise, and so on. You make smaller adjustments yourself in the dashboard. For bigger changes or questions, just get in touch and we'll adapt things together.
Because every firm has a different client structure, emata.ai has no rigid price list. We give you an entry price that covers most setups – we agree on final pricing in the intro call, depending on the number of clients, complexity and the modules you need.
We discuss where manual rework arises at your firm today – and use an example to show you how emata.ai closes that gap. The intro call is free and non-binding, and it is already the first step of our onboarding process. If emata.ai is a fit for you, we schedule the setup workshop. If not, all you have risked is 30 minutes.
The short answer: yes. The tools you already use are excellent at their core job – structured pre-processing of sales data. But even with these tools, manual work still ends up at your firm, with you. emata.ai picks up exactly where these solutions stop: incoming invoices and payables, edge cases outside the standard heuristics, client-specific posting logic. We complement your existing setup without you having to replace anything.
emata.ai hands the finished postings over to your accounting as a DATEV-compatible posting batch. The standard route is an import via the established DATEV import formats. Direct connections are possible for individual requirements. Your team's familiar routines don't change – postings arrive the way you know them, with far fewer gaps to untangle.
Yes. Incoming invoices and payables are covered as part of the emata.ai platform. You don't need to manage a separate tool for incoming invoices. We discuss the exact scope in the intro call, depending on the requirements of your firm and your clients.
That depends heavily on your client structure: how many e-commerce clients you serve, which platforms they use and where your biggest manual time sinks are today. We don't make blanket promises, because they rarely match your actual situation. In the intro call, we estimate the hours you can expect to save based on your current processes.
emata.ai is configurable, not standardized. In the setup workshop we configure the setup together with you – chart of accounts, collective debtor logic, client-specific posting rules, edge-case allocation. After the workshop, you can make adjustments yourself at any time in your dashboard. The posting logic stays entirely in your hands – emata.ai only does what you configure.
Each client is set up in a structured workshop together with our team. The effort depends on complexity – simple setups are productive within a few hours, more complex client structures need correspondingly more time. We estimate the exact effort in the intro call.
